“Implementing complex IT programmes is never about the systems it is about the changes to business processes they can enable. At the same time organisations need to engage the emotional commitment of their people to this new way of working. Frequently because either the impact on business processes have been ignored or because the new models of working have been designed by external consultants new systems fail to deliver the expected business benefits or in the worse cases become expensive white elephants.
The best process solutions will always come from the internal business experts that perform the work today. What we needed was a way of tapping into this knowledge so that new process and systems would be designed to fit with each other and to create an environment where improvements will continue as processes and systems evolve.
At Capio Healthcare UK we were undertaking a complete replacement of all our administration, finance and clinical systems. This was a massive programme which had to deliver significant benefits for the business in a very short timeframe. As part of the programme we engaged Xenogenix to run process workshops to enable people to understand the way work is performed today and to design the new processes that would be adopted once the new systems were deployed.
Their unique approach combined with a suite of web based tools enabled us to fully engage the staff at our hospitals in this key activity. More importantly they were able to create an information rich training environment which staff could continue to use on a day to day basis post implementation.
This approach was key to enabling us to complete phase 1 of the implementation in just over 6 months. It also created an environment where staff can continuing to contribute to the improvements in processes and the resulting system enhancements can be easily identified and prioritised”
